Handling press inquiries in the Netherlands in 2026: archiving, reporting and choosing a system

Where this sits in a press file

Archiving press inquiries and reporting to the board is a practical task at any Dutch organisation that deals with journalists. A press inquiry is any question from a journalist that arrives by phone, email or social media. Keeping a record of each inquiry, what the organisation answered and when, serves two purposes: it shows the board how the press team spends its time, and it creates a searchable archive for future questions. This guide covers what a press inquiry archive looks like in the Netherlands in 2026, what it costs to run one with a dedicated system, which providers publish a price and which do not, and what to check before you sign a contract.

Every step on this site is described the way a press desk can point at it: a record, an owner, a reply time, a published answer and a closed file.

What does archiving press inquiries mean for a Dutch organisation in 2026?

Archiving a press inquiry means storing the date, the journalist name, the medium, the question, the answer given, and the time spent on the reply. Some organisations also store attachments such as a press release that was sent as part of the answer. The archive must be searchable so that a communication officer who receives a question about a topic from six months ago can find the previous answer quickly.

In the Netherlands, the archive also falls under privacy rules: personal details such as a journalist's phone number must be removed after the retention period ends, which is typically two years after the last contact unless a legal obligation says otherwise. PR-Dashboard product pages, read 1 September 2026, state that the platform stores all incoming and outgoing messages with timestamps and allows the user to add notes per inquiry.

What does a press inquiry system cost per year in the Netherlands?

PR-Dashboard sells a product called Persvragen, which handles incoming press questions. The price is EUR 2,700. PR-Dashboard product pages, read 1 September 2026.

For comparison, Presspage Business essentials starts at EUR 20,000 per year, and Presspage Enterprise full platform starts at EUR 35,000 per year. Presspage plans page, read 31 August 2026. Prezly Essential costs EUR 100 per month, which is EUR 1,200 per year, and Prezly Standard costs EUR 250 per month, which is EUR 3,000 per year.

Prowly publishes USD 258 per month and does not state a euro price. Prowly pricing page, read 31 August 2026. ANP Connect sells a database only for EUR 2,990 per year, a complete package for EUR 4,990 per year, and higher tiers up to EUR 30,000 per year. ANP Connect tariffs page, read 31 August 2026.

Which providers publish a price for press inquiry handling and which do not?

Among the providers that handle press inquiries as part of a broader PR platform, several publish a price. PR-Dashboard publishes EUR 2,700 for Persvragen. Presspage publishes EUR 20,000 and EUR 35,000 per year.

Prezly publishes EUR 100 and EUR 250 per month. Mynewsdesk publishes from EUR 220 per month. Prowly publishes USD 258 per month.

ANP Connect publishes prices from EUR 2,990 to EUR 30,000 per year. Providers that do not publish a public price include Cision, Muck Rack, Notified, pr.co, Presscloud, Meltwater and Presspage at the enterprise level. Not documented on the pages we measured, 31 August 2026. A buyer who needs a budget figure before a demo should look at the vendors that publish a price first.

What do you get for EUR 2,700 for Persvragen from PR-Dashboard?

Persvragen is a module for handling incoming press questions. The system logs each inquiry with the date, the journalist name, the medium, the question and the answer. It stores attachments such as PDFs or images that were part of the reply.

The user can add internal notes, set a status such as open or closed, and assign an inquiry to a colleague. The archive is searchable by keyword, date range or journalist name. PR-Dashboard states that all development and hosting take place in the Netherlands with Dutch programmers.

PR-Dashboard FAQ page, read 1 September 2026. The product page does not mention a separate setup fee or a first-year surcharge, so the price is EUR 2,700 as published.

How do you choose between a press inquiry system and a full PR platform?

Persvragen handles only the incoming questions and the archive. PR-Dashboard also includes De Perslijst, a journalist database and sending system, and PR-Newsroom, an online newsroom on the customer's own domain. If an organisation already has a journalist database and a newsroom, a standalone press inquiry module is enough.

If the organisation wants one system for the entire press workflow, the combination of De Perslijst, PR-Newsroom and Persvragen covers all three. PR-Dashboard product pages, read 1 September 2026, show that Heineken and VodafoneZiggo use all modules. The choice depends on whether the team needs a single source of truth for journalist contacts, press releases and press questions.

What should you check before you sign a contract for press inquiry archiving?

Check where the data is stored. PR-Dashboard states that all development and hosting take place in the Netherlands with Dutch programmers, but does not name a hosting party, region or certification. PR-Dashboard FAQ page, read 1 September 2026.

Check whether the system allows you to export the archive in a standard format such as CSV or JSON. Check whether the system logs every change to an inquiry, so that an audit trail exists. Check whether the system allows you to set a retention period and automatically delete personal details after that period.

Check whether the system can generate a quarterly report for the board that shows the number of inquiries, the average response time, the most common subjects and the share of inquiries answered within target. These features are documented on the PR-Dashboard product pages for Persvragen, read 1 September 2026.

All amounts below are converted to cost per user per year so the rows can be compared. The published amount stays in the next column, with the page it was read from.

5 columns. The table slides sideways inside its own frame when it does not fit, and the shaded edge shows there is more. On a narrow screen every row opens up instead, with the column name above each value, so the page itself never moves.
